How YourCA works, step by step.

How do I create a quote?

  1. Open the job and go to Quote, second in the row after Dash.
  2. On a job with nothing priced yet, the box is already there. Type what this quote is for under What this quote is for. Press Start it.
  3. You get a draft revision, revision A, and a quote number that follows the last one your business used. You also get a first section with a first line ready to fill in.
  4. That is the only question it asks. The builder, the site address and the job name belong to the JOB. They show under the box, and every quote on that job carries the same three.
  5. To correct them, use Job details, the link in that line. Nothing is asked twice, so no two answers can disagree.
  6. For a second quote on the same job, for another package, press Start another quote at the top of the tab. It opens the same box.
  7. For a builder you have no job for yet, press All projects on the Quote tab. Then press Start a quote on your quoting book. It creates the JOB and the quote in one press.
  8. It asks for everything a job carries: its name, your own number, the builder, their reference, the site address, the state and what the quote is for. You need only the first three to start. Add the rest later on Job details.
  9. A job opened to bid costs nothing until the builder accepts its quote.
  10. As you type, the builder box offers every builder your business holds, not only the ones you quoted. It offers the head contractors in Company admin and the builders named on your jobs.
  11. Pick a builder from the list. Do not type it again. Two spellings of one builder split their win rate across two entries. Type a new builder straight in.
  12. Add a section for each part of your scope, the way you already divide a job: switchboards, light fittings, testing. Write the lines inside it.
  13. Add lines from the last row of the section's own table: a line, a provisional sum, or an option. Add a section is the one press outside a table, because a section is a part of the whole quote.
  14. Price it the way you usually quote. Give each line its own amount. Or write the section as scope text and state one figure at the foot of the section.
  15. Both ways are normal, and YourCA keeps them apart. YourCA never reads a section with unpriced lines as free.
  16. Pull in your standard exclusions and clarifications from your company library. Then add the two or three that are specific to the job. That wording decides who pays when something turns up on site that was not in your price.
  17. For each section, choose what the exported document prints: every rate and amount, the scope and quantities with a section subtotal, or the section name and subtotal only.
  18. While the revision is a draft, the quote is one walk. The foot of each part says which step you are on. It has Back and a Next button that names the next part.
  19. The parts are Quote, then Options, then Exclusions and clarifications, then Review. Review lists the parts with Open beside each, and holds the press that issues the quote.
  20. The walk is a guide, not a gate. Every section still opens from the band in any order. An issued revision has no walk.
  21. When it is ready, press Issue and download on Review and pick the file. It asks once. Then it freezes the revision and gives you the file on your letterhead in the same press.
  22. One thing stops it: a revision with no line amount and no section figure. It then says There is nothing priced on this revision yet.
  23. Send it from your own email. YourCA never sends anything to a builder.
  24. After you issue it, Download the quote is at the top of every section of the tab, beside Start another quote. You do not need to find Review again to get another copy. It asks which file you want. All three files are the same quote.
  25. PDF is the file you send. Word is the file the head contractor's contracts administrator marks up. Excel puts each section on its own sheet, with the amounts as numbers, not text. Their estimator prices against that.
Worth knowing

Your letterhead comes from your business profile in the company admin screen: logo, business name, address, ABN and licence number. If some of it is missing, the quote still exports as a valid document. The screen says once which fields are missing. It does not stop you.
