How do I get all my data out of yourca?
- Open your account menu, the round mark with your initial. Choose Settings, then Security. A copy of your records is at the foot of that section.
- Only administrators and the account owner can use it. A plain member does not see it at all, so they never see a button that refuses them. If you cannot see it, ask the person who set up your account.
- Press Ask for a copy. YourCA starts to put it together on the server, and tells you when it is ready. A big account takes a few minutes, because it collects the whole business.
- You get one zip file. It holds your jobs, your claims and their lines, variations, payment schedules and what was paid, and declarations.
- It also holds inspection and test plans with their hold points and responses, non-conformances, the diary, delay events, photos, and the drawings and requests for information that arrived.
- It also holds your orders and suppliers, retention, your crew and their tickets, your safe work method statements, insurances and work orders, and the handover certificates.
- It is plain JSON, one file for each kind of record, with a manifest that lists how many of each. Any developer or accountant can read it, and so can another system you move to.
- Stay on the page while it builds. Your browser does not store the link on purpose, so if you leave, you must ask again.
- Asking again costs nothing and gives you a newer copy. That is the right trade. A link to your whole business on a shared office laptop is worse than pressing a button twice.
- YourCA makes the download link when you press it, and it lasts five minutes. A link forwarded in a message cannot open your records for somebody else.
Worth knowing
It carries the written records, not the files themselves. A photo, a drawing or a signed inspection appears as its record with all its details. The images and documents stay in the tab where they were uploaded. If you need the files too, use the exports for each job on Site, Documents and Handover. Each of those takes one press.
