How YourCA works, step by step.

How do I get the hours out for payroll?

  1. Open Schedule and press Hours on the band. The hours record is the table under Where the hours disagree. It opens on last week, because payroll runs for that week.
  2. The dropdown on the right, level with the figures, offers Last week, This week and Last month. For two dates of your own, pick Pick dates, fill in From and To, and press Show the hours.
  3. You get every person who clocked on in that period, and their hours. Under each person are their shifts, with the job, the start, the finish and the break on each one.
  4. Search the list by person or job. Filter it to shifts still on the clock, or shifts that were corrected. Choose how many people a page shows.
  5. Press Download beside the period and pick a format. PDF, Word and Excel give the period on screen, on your letterhead: each person’s total, then every shift with its corrections.
  6. CSV is the record itself. It carries every shift in the period, every correction and the entry each correction replaced, and no location.
  7. The list on screen totals about a month at a time. The CSV takes any period you put in the boxes. That is what a request for years of time and wages records needs.
  8. This is the hours record. The Pay section beside it shows what the hours are worth: it works out the same hours as gross wages and super for a pay period, under your pay rules.
Worth knowing

Only a role that rosters the crew can open this, because it names every worker’s start and finish times. The server refuses everybody else; the screen does not only hide it. If you archive somebody, the hours they recorded stay. Attendance is a record you must keep for seven years, and it belongs to the job, not your crew list.
