How YourCA works, step by step.

They want the O and M manual?

  1. The pack covers your own works and nothing else. The builder makes the building's manual from the pack of every trade. This is the pack with your name on it.
  2. Open Handover and choose Add plant or works. Add one part for each piece of plant, or each part of your package. Use the words you use on site: the hot water plant, the tempering valves, the backflow devices. On most jobs that is one part, and you are done.
  3. Every part asks who produces the documents. For your own works, answer We do. If you bought the plant in, name the supplier. What is outstanding then collects under their name, and YourCA writes the chase letter to them.
  4. Ten document types start as outstanding against every part. Each one clears when you attach its document. The (i) beside the section heading names all ten and shows the three steps again.
  5. You do not need to upload again a document the job already holds. Beside Choose files, Attach offers Pick from this job. It shows the job's Files, the files on its shop drawing submittals and the files on its procurement items.
  6. Add the files you want. Check the type on each. Then attach them. YourCA uses the file it already stores, so it copies nothing and uses no storage.
  7. With one part on the pack the contents page is a plain list. The ten document types go down the page. Each line shows its state, the button that attaches the document, and the box that records it as Required, If applicable, N/A or Not Required.
  8. In that sense every row is optional. Attach each document against the category it belongs to.
  9. Add a second part when a supplier owes their own set. The same page then becomes a grid: the ten types down the side, your parts across the top, and one mark in every cell.
  10. The Add column is at the end of the heading row on both shapes. To go from one part to two and back again, you press once in the table.
  11. Start the pack in the week the plant goes in, not at the end. Add a row on the day you install something. You can then get its warranty and commissioning record without a second chase.
  12. A type your works will never produce is answered rather than left open. Every outstanding line has the answer beside the chase: mark it as not applying, or as still owed again.
  13. The answered line comes off the outstanding list, and the other nine stay on it. The answer prints on the contents page, so nobody reads the empty section as something you forgot.
  14. Received is not one of the answers. A row becomes received when a document arrives against it.
  15. You edit the parts on the register, not on a separate view. Every column heading carries its own two controls: rename or correct, and take off. Add column is at the end of the heading row.
  16. The form opens under the register, not in the heading. A heading is a cell of a table that scrolls sideways, and you cannot fill in a form there on a phone.
  17. A correction carries through. Every outstanding line, chase and contents page entry from that part follows it.
  18. When you take a part off, YourCA deletes nothing. But the documents filed against it leave the pack with it, and nothing here puts it back. The confirmation tells you this before it happens.
  19. The tab shows what is still outstanding. That is what the builder chases you for.
  20. When you are ready, press Download the pack at the right end of the band. It opens the pack and says how many items are still outstanding.
  21. Press Download the pack there to get one file. It has the contents page in front and every document filed against this pack behind it. The documents are numbered as the contents page numbers them. Give that single file to the builder.
  22. Every pack you have sent keeps its own contents page. When you open one, choose a PDF or a Word file. Both come from the list of contents stored against that pack, not from the checklist as it is today.
  23. You can issue a pack that is not complete. The contents page names anything still outstanding and the party who owes it. That is better than holding back the whole pack.
  24. Copy the contents page is beside that download, and again under the list of documents filed on the pack. It puts the contents page on your clipboard, so you can paste it into the covering email.
  25. YourCA does not send any of it. The pack goes to your downloads, and you give it to the builder yourself.
Worth knowing

Subbies hate few things more than handover paperwork chased months after they left site. Put the pack together in the week you finish. After a download, YourCA reports how many documents went into the pack and names any it could not read. Check that count before you send the pack. A pack that drops two files without a word is worse than one that tells you.
