How do I invite someone?
- Open your account menu, the round mark with your initial. Choose Company admin, then People, which opens on Your people.
- Everybody who works for you is on that one list, whether or not they can sign in.
- If a person is not on the list yet, add them first with Add somebody. It is the same form the crew register on Schedule uses: name, role, how they are engaged, trade, phone, suburb, pay grade and email.
- Only the name is required. The roster, the sign-on sheet and every generated document read the same record, so you add a person once.
- A person who only clocks on and signs points needs no office sign-in. Tick Give them a site login on that form, and YourCA invites them when you add them.
- The invitation goes to their email, so the form asks for one if the box is empty. The login starts when they sign in with that address.
- To give an office sign-in, press Give a sign-in at the end of their row, or press their name to open their record. Signing in asks how they use YourCA.
- Clock on from site points you to their row under Your crew, where you give a site login.
- Work in the app asks for the access role. Press Send them an invitation, and it goes to the address on their record. They stay on your people list the whole time, with Invited beside their name.
- To invite a whole list at once, press Invite a list at the top of People. It has three steps, with Back and Next at the foot.
- First, choose a file with a Full name column and an Email column. The people template has both.
- Then check the lines. YourCA shows every line before it sends anything. Beside any line it cannot send, it gives the reason.
- Last, pick one access role for the list and press Send.
- Each line is the same invitation that Send them an invitation sends. Afterwards, each line says whether it went, went with no email, or was refused and why. A person already on your people list is invited on their own row.
- There are four access roles. Office admin sees and changes the people, the plan and the card, and the financial side of every job. Office admin also approves and serves claims.
- Project manager plans the work. A project manager sets the programme, rosters the crew and drafts the claims on the job, so sees the figures. A project manager serves nothing, and approves claims only if you switch that on for the role.
- Foreman runs the day. A foreman reads the programme and the roster, changes neither, and signs off inspection points. A foreman sees none of the financial side.
- Field worker gets the tabs they work in, and none of the financial side.
- Office admin and Project manager can see financial figures. Neither of the ground roles can. It is the one thing worth a deliberate decision.
- The role you pick here is the ceiling, and it decides the acts: seeing financial figures, setting the programme, rostering the crew, serving a claim, signing a hold point.
- The role profile in the column beside it can only take reach away from that ceiling. It can never add to it. Set what each profile reaches under People, then Who can do what.
- That column is empty for a person who cannot sign in, because there is no account to narrow until they can.
- An invitation lasts seven days. After that, their row says Invitation expired. Send again makes a new link, so the old one stops working. Withdraw cancels it completely.
- When they accept, their sign-in joins the row they already had. It never makes a second row, so nobody is on your people list twice.
- Remove takes a person off the account at once and signs them out everywhere. It is on their row and on their record.
- The owner cannot be removed or moved, so the account can never lock itself out.
- YourCA writes every role change and every removal to the account record, with who did it and when.
Worth knowing
An office sign-in and a site login are two different accounts. One person can only hold one of them. A person who only needs to clock on and sign a point needs a site login. Tick it when you add them, or give it later on their row under Your crew on the Schedule tab. It costs nothing on your plan. Their record says which one they have. It does not offer you both.
