How do I sort a register?
- Every heading over a column of values is a press. A small arrow beside the heading shows which column is sorting and which way.
- The first press runs the rows up: A to Z, smallest to biggest, earliest to latest. The second runs them down. The third puts the register back in the order it opened in.
- Figures sort as figures and dates as dates, so $900 comes before $12,000 and 2 March before 1 January next year.
- A row with nothing in that column always sits at the bottom, whichever way the rows run, so the blanks never push the rows you want off the screen.
- Rows that are equal keep their own order, so a second press never shuffles them.
- A register split into groups, like the Procurement order register in its sections, sorts inside each group and keeps the groups where they are.
- YourCA remembers the sort for you, register by register. It is yours alone: somebody else in your business sees the register in their own order. It follows you to another computer once you sign in there.
- The sort works with the filter box and the Filter beside it. The filter decides which rows show, and the sort decides their order.
- A column of buttons, ticks or photos has no sort, and nor do forms where you type a figure on each line, like a claim being written, because a sort would move the line you are typing in.
Worth knowing
A sort only changes the order on your screen. It never changes a record, never changes the order a document prints in, and never sends anything. While a column sorts, the up and down arrows on your contract lines and the drag handles on the Procurement order register stop working, because the row they would move past may not be its neighbour. Press the heading until the arrow goes, and they work again.
