How YourCA works, step by step.

How do I record which drawings I priced against?

  1. Open the Quote tab and press Tender Docs on the band. The list shows every drawing and specification on this job. They are the same ones the Documents tab holds under Tender Docs.
  2. Tick the ones you priced from. YourCA records each sheet at its revision today. Untick it the same way.
  3. If you have not uploaded them yet, press Add tender docs beside the search on the same header. The file goes on the job with every other document. The same press ticks it onto this revision.
  4. The table then shows two revisions for each sheet: the one you priced at, and the current one in the register. That is your answer if somebody later says you priced the wrong set.
  5. When new drawings arrive and the price moves, revise the quote. Choose Re-priced to new documents as the kind of change. Record the new revisions on that revision.
  6. Your revision history then shows the drawing history. That is usually the whole argument.
  7. Press Make a set to compare. It asks which of those sheets you want in the set, with all of them ticked. It then tells you what it made and offers to take you to it, on the Documents tab under Compare drawings.
  8. If the builder issues a new set while this is still a quote, drop it on New drawings arrived on the same section. YourCA files it and compares it against what you priced. If anything moved, it offers to re-price the quote.
  9. Export the tender register, on the Tender Docs header here (Export the register on the Documents tab), gives every drawing and specification as a PDF, a Word file or a spreadsheet. Each one shows the revision the register holds today, the quote that covers it and the revision it was priced at.
Worth knowing

Only a draft revision takes them. An issued quote never changes what it says it was priced against, because that is a statement about what the builder gave you. Recording drawings is optional on purpose. Many re-prices have nothing to do with drawings. That is why the reason for a revision is always required, and this is not.
