How YourCA works, step by step.

How do I check somebody actually turned up?

  1. Roster the day with its hours. The check compares two things. A day with no hours has nothing to compare, and says exactly that. It does not report the day as fine.
  2. The crew clocks on and off as usual: on their own phone with a site login, or from an office account that is on the crew list. Nothing about the clock changes.
  3. Open Schedule, then This week. A day that went to plan shows nothing. A day that did not go to plan shows one of three marks: on so many minutes late, off so many minutes early, or no clock.
  4. Under the grid, the same days are listed in full sentences: who, which job, which day, what was rostered and what was clocked. Work through that list on a Monday. You do not need to read 500 cells.
  5. For a whole fortnight, not one week of one job, open Hours on the Schedule tab. It reads every rostered day across your whole crew and every job for a range you pick. It lists only the days where the two disagree.
  6. It opens on the last 14 days. The dropdown on the right beside the figures offers last week, this week and last month. Or choose Pick dates for any two dates of your own.
  7. Each day has two presses on its own row, beside the sentence that says what happened. Confirm says the hours stand as clocked.
  8. Fix these hours opens the hours for that person, job and day under the row. It is already filled in with what was clocked. If nothing was clocked, it shows the rostered hours.
  9. Record the right hours with a reason, and the day is confirmed too. YourCA keeps the original clock record under a fix.
  10. To confirm many days at once, tick them and press Confirm on the bar under the list.
  11. Confirming changes no hours. It records that somebody looked. Next fortnight, the list shows only the new days, not the same list again.
  12. You can confirm days on the jobs you are on. The same rule decides which days you see. An Owner or an Office account marks across every job.
  13. YourCA names back to you anything that did not go through. It does not hide it in a count. This happens when a day came off the roster while you read the list.
  14. Fifteen minutes either side of the rostered time counts as on time. An ordinary week is quiet, and the exceptions are easy to see.
  15. A person who is still on the clock shows as on the clock. YourCA never reports them as finishing early. A person on site at three in the afternoon has not left early.
  16. A person who clocked on to a job nobody rostered them to is also listed under the grid. Usually a foreman sent them there at six in the morning, before the roster was updated. The list is for you to check, not because it is wrong.
  17. The same days, with the same one press, are also on Reports under Labour, on Hours needing a look. Open a job there to read its days and confirm them without leaving the report.
  18. Both places use the same route and the same record. A day confirmed in one place is confirmed in the other.
Worth knowing

This states what your roster says and what the clock says, and nothing else. It never stops anybody clocking on, and never changes a recorded time. It never counts anything against a person: there is no lateness score, no tally and no history on somebody’s record. A missing clock event does not prove that anybody was absent. A flat battery and a day off look the same from here.
