How YourCA works, step by step.

When does YourCA email me?

  1. The daily email collects everything due across every job you are on into one message. It comes at 6am unless you picked 7, 8 or 9am. It does not arrive at all on a morning with nothing due.
  2. The Monday email comes at the same hour and has two parts, each with its own switch.
  3. Falling due this week carries everything falling due on your jobs in the next seven days, worst job first. On that Monday the daily email does not come, so the same jobs are not covered twice in one morning.
  4. What you are owed is on for the owner. It is off for everybody else until they turn it on in the Notifications section of Settings.
  5. The same email then puts every job side by side. It shows what you are owed and how far past its due date, what falls due in the next seven days, and what moved in the last seven days, worst job first.
  6. With one part on, you get that part alone. With both off, no Monday email is sent.
  7. A quiet week still gets the Monday email, as one line. It says nothing is late, nothing falls due and nothing moved. So you know YourCA is still watching.
  8. On the same Settings card, press Preview. It opens what the email would say today, as a page.
  9. Press Send to me now to send it to yourself straight away.
  10. The monthly email, Retention still owed to you, goes out on the last day of the month. It only goes to an account with no jobs on site now and retention still held from finished work. It shows the total and which parts of it release this quarter.
  11. A contract version that is replaced is the one item that YourCA never emails. It only ever goes to the bell. Nothing on it lapses, and it asks you to open the terms and read them.
  12. What each email says depends on what your role may see. A person who cannot see financial figures still gets every deadline, because a missed deadline is the expensive mistake. But their lines name no amounts.
  13. The two reports that are only amounts do not go to them at all: What you are owed on a Monday, and the monthly retention reminder.
  14. This follows the switch under People, then Who can do what. If you take financial figures off a role, their email changes on the next send. You do not need to set anything else.
  15. You can switch off every one of these on the Notifications section of Settings. Each switch is for one person.
  16. Your morning email, at the top of that section, also sets how often the daily email comes: every morning, Mondays only or never. It also sets the time: 6, 7, 8 or 9am. Never stops the Monday email too.

None of these ever go to anyone but you. YourCA does not email a builder, a supplier or a teammate for you about any of it.
