Where do I manage my client companies?
- Open your account menu and choose Company admin. Press Who you work with, then Clients.
- It is the list of the account, not of a job. So it is the same on every device you sign in on.
- A builder goes on it when you name them on a job or start a quote for them. You set up nothing first and import nothing.
- To add one before that, press Add a builder at the top of the section and fill in their company name. A contact, an email and a phone number are optional. You can add them later.
- To correct a builder, press the pencil on their row. The person you deal with, their email and their phone become boxes you can type in.
- Press Enter to save. Press Escape to leave it as it was.
- It writes the same record the Procurement tab reads. So the correction shows in both places at once.
- You can change their company name only while they have no jobs and no quotes.
- After that, the name links them to their work. A rename here would leave every job on the old spelling and give you two builders instead of one. Correct the name on the job.
- To take a builder out, press the bin on their row. It happens immediately. The message that follows has an Undo that puts the contact back.
- It removes only the contact you hold. Their jobs, their quotes and everything claimed against them stay on the record.
- It is the same record Procurement reads, so a chase drafted to them stops there too.
- If you still have a job or a quote with a builder, they show here again as one you hold no contact for. A builder with neither leaves the list until you write them down again.
- The search box at the top of the section filters the screen by name, person, email or phone. It asks YourCA nothing, so it answers as fast as you type.
- Filter, beside it, narrows to builders in your directory or not yet in it, builders with crew on site now, or builders with quotes still open.
- Not in your directory means you work for them and hold no contact. Add to directory writes their row. You can then fill in their contact, phone, ABN and address.
- Each row shows the jobs you have with them, how many quotes you have out, what those quotes come to, and how often they decide your way.
- The win rate is the same figure your quoting book shows: accepted, divided by accepted plus lost to another firm. No figure shows until three quotes are decided.
- YourCA matches the name and ignores case, punctuation and spacing. So one builder typed two slightly different ways is one row.
- Two names that really differ stay two rows, so you can see them and decide.
Worth knowing
Clients and Suppliers are one record, read in two ways. A firm that pays you is a client. A firm you buy from is a supplier, and it is in the next section. A firm can be both, and it shows in the list its kind says. If you add a builder whose contact you already hold, YourCA refuses and points you to the row you have. So one firm is never on the list twice. A builder already on the list with no contact is not refused: adding them writes their first row.
