Do I have to fill in my company details for every job?
- The eleven are your business details, your logo, who can do what, your people, your insurances and company documents, your quote terms, your pay grades and rules, your price lists, your clients and suppliers, connecting your books, and starting your first job.
- The same list shows in two places, and they always agree: on the Dash, and in Company admin.
- On a job's Dash, it is one line that says how much is done, because the job comes first there. Press Show the list on it to open the whole list.
- YourCA stores nothing about whether a row is done. It works out each row from the record that owns it. So when you finish something anywhere, it ticks everywhere.
- Every row but Connect your books finishes without leaving the list. A form, a drop target or one press opens on the row itself. Connect your books takes you to the screen that owns it.
- Nothing on any job is blocked while any of it is empty. The first document you export shows the gap: it comes out without your letterhead.
- Your business details apply to the whole business. Fill them in once, and every job you start after that carries them. So a document exported from the site phone has the same header the office sees.
- The legal entity name must be there before YourCA saves the rest, because an entity signs everything you sign.
- YourCA watches a compliance document recorded with an expiry date, and tells you before it lapses, not after.
- YourCA holds a signature against your business signatory, on your account. So one upload prints on every document they choose to sign, from any device.
- Only an office admin can store or see that signature, because it is the mark on documents issued in the company name. Everybody else exports the block blank, for that person to sign by hand. Your own signature, for things you sign yourself, is a separate mark you hold under your profile in Settings.
- You finish each row where it stands. Your details take a form. Your logo takes the file you drop on the row.
- Your insurances and company documents open with two lines. Each line is a file, what it is (picked from a list of covers and document kinds) and when it expires. Add another document gives you another line.
- Your roles show the seven YourCA ships with, and what each one cannot open. One press records them. Change, beside a role, opens its switches.
- Your people, your clients and suppliers and your pay grades take several in one save, a line each, with Add another beside them. Your people and your clients and suppliers also take a whole spreadsheet, with Download the template beside it.
- Your quote terms take the set and its exclusions and clarifications, typed or filled from a spreadsheet with a Type and a Term column.
- You can file a price list for a merchant who is not in your directory yet.
- Open it, beside a row, takes you to the full screen for that subject, with the rest of it.
- Your people is ticked from the start, because you signed up and you are one of them. So a sole trader is never told to add somebody. The row stays in the list, folded with the other finished rows, for the day you take somebody on.
- A row ticks itself off as soon as the write lands. YourCA reads the tick back from your account, not from a flag in this browser. So it says the same on the other two screens and on your other devices.
- Not now puts a row aside without losing it. The row says it is skipped, and offers Put it back. It is a decision about the row, so it applies everywhere the list shows.
- Only the people who run the company see this list. By default, those are the Owner, Office and Accounts roles, because they administer the company or run its pay. The project manager, a foreman, a field worker and Read only never see it on the Dash or the job list.
- If you give a role Administer the company or Run pay under Who can do what, it also gets the list.
- Accounts sees the whole list, but can finish only the rows their role can write. By default, those are the pay grades, the quote terms and the price lists. The other rows say an office administrator sets them, unless you give Accounts Administer the company.
Worth knowing
When the list goes, every row is done or skipped. After that, it stays gone, on the Dash and in Company admin, even if a row later stops being true. So fix a detail that goes missing after that on the screen that owns it. YourCA remembers this on the device you finished it on.
