How do I add somebody to my crew?
- Open Company admin from the account menu, then People, then Your people.
- Press Add somebody. It opens the one form for a person, the same form Add someone opens under Your crew on the Schedule tab.
- The form asks for their full name, what they do, how they are engaged, their trade, their mobile, their suburb, their pay grade and their email. Only the name is needed. Pick the pay grade from the grades you set under Rates, then Pay grades.
- Tick Give them a site login to invite them as you add them. The invitation goes to their email. If you tick it with no email, the form asks for one before it saves. When they sign in with that address, they can clock on from their phone.
- What they do is one of Tradesperson, Foreman, Project manager or Office, because the record holds those four. Put your word for the work itself (plumber, chippy, second year apprentice) in the trade beside it.
- Import a list, beside it, takes your spreadsheet. It shows who it will add and which lines it could not read. It adds nobody until you say so.
- Your crew on the Schedule tab has the same two, as Add someone and Upload a list, and so does the assistant. Wherever you start, YourCA writes the same record the same way. So the roster, the sign-on sheet and every generated document read one person, not two.
- You can also add somebody by talking to YourCA. Say "add someone to my crew" in the assistant. It asks for the same details one at a time, all but the suburb and the pay grade. It shows all of it on a card before anything is filed. Either way, it is the same list of fields and the same record.
- Each person has a role. The role decides which tabs and sections they see, and which acts they may do.
- You can set a role profile only for somebody who signs in to the office, because the profile narrows what their account reaches.
- The owner always keeps full access and cannot be narrowed. A site login is set under Your crew on the Schedule tab. A person with no sign-in has nothing to narrow yet: their row leaves that column empty and offers Give a sign-in at the end.
- Where the answer is on another screen, the row tells you which one. It does not offer a control your account would refuse.
- If you later change what somebody does, the row says so and offers the move. Put a tradesperson up to foreman on their record, and their access role does not follow on its own. That is a permission, and YourCA does not give one unless asked.
- Instead the row reads "Trade role changed. Move to Foreman?" One press does it. Leave it and nothing changes.
- Go to People, then Who can do what, and pick a role. What they can do has a switch for each act. What they can see has a switch for each tab and section.
- The acts are: administering the company, seeing financial figures, adding and changing records, approving a draft claim, serving a payment claim, signing a hold or witness point, rostering the crew, setting the programme and running pay.
- Turn one off, and YourCA refuses it to that person on their next request, on any device. It does not only hide the button.
- The switch for seeing financial figures reaches further than the screens. When it is off, the emails YourCA sends that person name no amounts. The weekly contract position email stops going to them. The assistant does not read them a figure. It is one switch and it holds everywhere, so you set it in one place only.
- Where a screen is mostly not about amounts, that switch blanks the figure and leaves the screen open. Your client book still gives them every builder, every contact and every win rate. Out with them is the only empty column. That screen is about the builder you work for, and you hold no phone number for them.
- Administering the company is the same kind of switch. It opens your people, their tickets, their site logins, the notice you issue before you switch location capture on, and the export of what everybody worked.
- It also changes the company library, your SWMS standards and a policy that covers every job. It changes or clears the payment law on a job after it is set, and it puts a job away.
- Take it off a role, and all of those close for that role on their next request. They still run their jobs as before.
- To take an act away narrows; it never grants. The role somebody signs in as still sets the most they can ever do. If somebody still cannot do something after you switch it on here, change their access role, on their own record under People.
- A person who should set the programme is a project manager. A person who should see what a job is worth is an office admin.
- What they can see works both ways, and you decide. A tab or a section starts where the role starts, and you can switch it back on. Turn This week on for your foreman and save. The roster then opens for them on their next request, on every device.
- Two switches hold whatever the tabs say, because they are acts, not places. Financials and Reports need seeing financial figures. Pay needs run pay.
- The owner role always keeps administration. YourCA refuses any change that would leave nobody able to administer the company, including a change to your own role.
- Read only means the screen still opens. A foreman reads next month's programme in full but cannot replace it, so there is nothing to hide. Take a whole tab away only when somebody has no business on it at all.
- YourCA stores which tabs and sections a role reaches on your account, not in the browser you set it in. Change it at the kitchen table and it holds on the phone on site.
- You do not stop somebody signing in here. Press Remove on their row under People: it takes them off the account and signs them out everywhere. Revoke a site login under Your crew. This screen decides what somebody reaches while they still work for you.
- The directory slide over reads the same list. There you change who is on the job you look at, under Who runs this job. You change a person's own record here in Company admin. Press Edit in Company admin, at the top of the slide over, to open it.
Worth knowing
The two halves of this screen behave differently. What they can SEE is a switch both ways: you can turn a tab or a section off for a role, and back on. What they can DO only narrows. The access role on their own record under People is the ceiling for the acts. If somebody still cannot do something after you switch everything on here, change that role. The last administrator cannot be locked out. The owner role cannot lose administration, cannot be narrowed and cannot be deleted.
