How do I record a subcontractor I engaged?
- Open the job, then Prestart, then Engaged. It is the last section on the band, after Pack.
- Press Record a firm and enter their company name. Only the name is required.
- Type the ABN too. YourCA uses it to file them as one firm across every job you use them on. If you correct their number later, it changes everywhere.
- If you used them on another job, pick them from Someone you have engaged before at the top of the form. Their details fill in.
- Their certificate of currency, licence and safe work method statement also come across, while each one is still in date. Their Subcontractor’s Statement does not, because it covers one claim period.
- On their row, press Record something you hold. There are four kinds: their Subcontractor’s Statement, their certificate of currency, their safe work method statement and their licence.
- A Subcontractor’s Statement covers a period. It does not expire. So YourCA asks for the two dates on it.
- A certificate of currency expires, so YourCA asks for that date instead. A record with no date shows as having none. It never shows as current.
- After that, the declaration on every claim you serve says whether you hold a statement from each of them for that claim’s period. It names what is missing.
- YourCA drafts the list of who the declaration covers from this register too. You do not type the same names into the claim every month.
- Take them off this job, on their row, takes a firm off the job. It does not erase the fact that they were on it. Their name stays on anything already signed.
- Export the register, beside Record a firm, gives every firm on the job and what you hold from each, with its number and dates. It comes as a PDF, a Word file or a spreadsheet, to keep beside the declaration you sign.
Worth knowing
When you sub out part of your work, you become a principal contractor for that work. The statement you sign with your payment claim declares that you hold the signed statements of your own subcontractors for the same period. Under the Acts behind that form, you can become liable for the workers compensation premiums, the payroll tax and the wages your subcontractor did not pay. YourCA tells you what it recorded and what is missing. It never decides whether you may sign, and nothing here stops you signing.
