Where do I put my insurance?
- Company library holds what your business holds once. Every job selects from it.
- It is under Library in Company admin, and on the Prestart tab of each job. It is the same library in both places, so you can fill it in before you start a job.
- The fastest way in is the Dash. Under Set your company up, press Add on Insurances and company documents.
- One form asks three things: what the document is (an insurance cover or a company document kind), when it expires, and the file itself.
- What it is sets the word a builder looks for in your pack. The expiry is on the certificate, beside the period of insurance. YourCA does not guess either. Without the date, nothing can warn you before the policy lapses.
- If you say it does not expire, it files with no date. You can still set the date later under Correct details in the library, while no job pack has gone out that cites it.
- After a pack cites it, a new date is a renewal. So the copy the builder holds always agrees with the library.
- Who issued it, the policy number and the sum insured go on the record in the library, not on that Dash form. The Dash form asks only for the three things a pack needs.
- Attach the document when you add it. Attach the new one again when you renew it. That file is what a job pack carries, and each entry with a file opens directly from its row.
- Each entry has versions with an expiry. So one renewal changes every future pack, and no pack you already issued.
- A contract review checks the insurance the contract demands against each insurance in the library that has not expired. It names the policy that matched each requirement.
- The review leaves out an expired policy. Renew it here, and your next review reads the new certificate.
- An expiring certificate shows on every job it applies to, and the bell tells you about it. The bell tells you about once a week while it counts down, and once a day after it lapses.
- The Insurances section beside it holds the policy details and watches the dates: the insurer, the policy number, the sum insured and the period. It sorts them by what expires first.
- These details save to your account, so what you enter in the office is what you see on site.
- Or start from the certificate itself. On Prestart, open Insurances and press Add from a certificate, or drop the file on the page.
- YourCA reads what it can from it, and you check the lines. Add the policy saves the policy and files the certificate in Company library with the same press, so every job pack has it.
- If you drop a renewal on the policy's row, or on Replace the certificate, it files as the next version of that library entry. Only a company administrator can file into the library.
- The library holds one certificate, and the policy watches one expiry. Two copies give two expiry dates, and you read the wrong one.
- A library row shows its name, what it is and when it expires, with Renew beside it.
- Press the row to open the record. It shows who issued it, the reference, the dates and the document, with Correct details, History and Archive.
- A builder may ask for your insurances before site. Press Export the register on Insurances and pick PDF, Word or Excel. You get a schedule of every policy on the job with the insurer, broker, policy number, sum insured, period and expiry, on your letterhead.
- Export the register in Company library gives everything the library holds in the same way, insurances and licences first.
Worth knowing
A renewal never takes the previous document, because it is a new certificate with new dates. Attach the new one, or the version has no file. When you remove a policy, YourCA archives it and does not delete it. After an incident, somebody still needs to know what cover you held in March. Only a company administrator can add to or change the Company library, or add a policy that covers every job. Anybody who edits a job can add a policy that covers only that job.
