How do I save a swms as a standard?

  1. THE QUICKEST WAY IN IF YOU ALREADY HAVE ONE: on a job, use Upload yours for the PDF your safety consultant wrote. Then press Also keep as your standard on the card that appears.
  2. If you drop a Word file there, YourCA goes directly to reading it in, because a Word file cannot go in the pack as it is. After you save the standard, this job starts from it.
  3. YourCA reads the steps, hazards, controls, protective equipment, plant and permits out of the file. It shows you what it read, with the words from your own document under each step. Nothing is saved until you name it and press.
  4. It tells you how much of your document it used, and how many rows it left out. It leaves a row out when it cannot find those exact words in your file. A step that YourCA wrote and did not read is a step nobody put on your safety document. First, compare the rows it kept with your original.
  5. The other way in is for a method you improved on a job. Open a statement you already ISSUED and go to its Review.
  6. Press Save as one of your standards. Give it the name you look for on another job, such as Hydraulic rough-in, not the job name.
  7. After that, every job offers your standards under From a standard. The SWMS section opens there on a job with no statement yet. On a job that already has one, they are under Add another.
  8. Before you have your own, the practice job carries one, so you can try the full process. Like everything on that job, it is sample data. It is offered there and on no other job, and it never gets to a real job.
  9. Press Use this one. The steps in order, their hazards, both risk ratings, each control measure, the protective equipment, the plant and the permits land on this job as a new draft.
  10. The card lists what you still fill in for this job: the high risk construction work questions, how you consulted the crew, the supervisor and dates, the emergency contacts, and who is responsible for each step.
  11. THEN AMEND IT. What lands is a normal draft, so you can change every tab and every part of it.
  12. For example, reword a step, add or remove a hazard or a control, or fill in the make and model of the plant. Add your own review trigger, and write a line that says what changed. Nothing on a draft is locked.
  13. That is the normal way to use a standard. Most jobs need a few small changes to the method, not a new method.
  14. YourCA asks the high risk construction work questions again from the start, under the law of the state THIS job is in. A standard from a New South Wales job does not carry its regulation numbers onto a Victorian job.
  15. Did you improve the method on a job? Save it as a standard again and choose the one it replaces. YourCA retires the old one and does not delete it, so the list stays at the few you actually use.
  16. Rename or retire a standard from the same list. When you retire one, it leaves the picker. The statements already written from it do not change.
Worth knowing

When YourCA reads your own document, it does not guess risk ratings. This is the part to understand. If your document gives a likelihood and a consequence for a hazard, YourCA uses yours. If it gives only a level such as High, YourCA uses its own matrix. It does not work a likelihood and a consequence backwards from that level, and the screen marks those ratings as YourCA's, not yours. If nothing can rate a hazard, YourCA says so, and you cannot save the standard until somebody rates it. Reading also needs a live plan and has a daily limit per account, which normal use does not reach. A standard is COPIED onto a job, never linked to it. So a later change to a standard cannot alter a statement that already went out. That matters because your crew signed the document they saw on the day. A standard does not store two things, on purpose. First, your business name, ABN and phone number: the statement reads these from your business profile each time it prints, so one change fixes every future statement. Second, who is responsible for each step: that is a list of names, and it comes from the crew on the new job. A standard can only come from a statement that YourCA wrote and you issued. It cannot come from a draft, a superseded statement, the practice job, or an uploaded statement already on a job, which YourCA never read. Anybody who writes statements can start a job from one.
