How do I approve a claim?

  1. Open Financials. Press All projects on the tab's band. On a phone, it is in the panel the Tabs button opens.
  2. Press Waiting on you. It opens on the claims marked ready for review, oldest reference date first. Each shows what it asks for and who marked it ready. Use the dropdown beside the buttons to show the claims still being built instead, or both.
  3. Tick the claims you are happy with. Press Approve, which names how many you ticked.
  4. It answers on each claim. It lists the claims that went through, and the claims that did not, with the reason. So one claim that does not add up does not stop the other thirty-nine.
  5. Press Check the lines on a row to read the claim without leaving the list. If a percentage is wrong, change it there. It saves through the claim screen itself, and the claim stays ready for review.
  6. If you are not happy with one, open its row and press Send it back. Say in one line what needs to change. It goes back as a draft to the person who built it. Your line shows on the claim until they mark it ready again.
  7. For one claim at a time, use the button on the claim: open the job, then Financials, Claims, Review. The last step of a draft offers Approve claim N, Mark ready for review and Save as draft side by side. So you can also hand a claim you built to somebody else to check.
  8. On a claim in review, the choices are Approve claim N or Send it back. It is the same checkpoint, with the same refusals.
  9. The declaration never holds a claim up. You can approve it and record it as served with or without one. If you sign one, press Back to claim N to go straight back to the claim. In New South Wales, the builder can hold back payment until they have your signed Subcontractor's Statement. If they ask, give them one.
  10. Approval is not service. You still serve an approved claim from its own job. The top of the list shows what is approved and not served, so a business can see where it stopped short.
  11. Who may approve is a switch on the role: Approve a draft claim, on the Roles screen in company admin. Turn it on for your project managers and they can pass their own. Leave it off and somebody else does.
  12. To check a claim on paper before you approve it, press Draft copy in the claim's header and choose PDF or Word.
  13. It is the claim built from the figures last saved. Every page is marked draft and there is no signature block, so nobody can mistake it for the claim you serve.
