How YourCA works, step by step.

How do I chase a late payment?

  1. Open Settings and choose Notifications. On the Chasing card, turn on Chase late payments. It is off until you turn it on, and it is set once for the whole business, by somebody with Company administration.
  2. There are three steps, and the number is fixed. By default: a polite note the day after the payment fell due, a firmer one at seven days that names your state’s Act, and at fourteen days a notice that you intend to suspend work under the Act’s suspension section.
  3. To change a step’s day or its words, press the pencil on that step, change them in the sheet, then press Save. To start again, open the More mark beside the switch and press Put back the standard words. The words in square brackets are filled from the claim: the amount, the claim number, the job, the due date, the days late, the Act and the suspension section. You never type a figure. If YourCA does not know the job’s state, the Act stays in brackets for you to fill in.
  4. When a step falls due, it is a line in your brief on the Dash and in Action items. The claim shows it in Financials, on What came back, in the late notice at the top.
  5. On the Dash, open the line and press Chase email to see the letter there. Then record it on the claim.
  6. Press Open the chase email. The letter shows in a window, addressed to the builder from the job’s directory. Read it, change anything you like, then press Open in your mail and send it yourself. Copy puts the whole email on your clipboard instead.
  7. Then press Record this chase. That records the day, so you have a record of asking, and the claim moves on to its next step.
  8. Interest is left out of every letter unless you tick Include interest in that window, for that one draft. The tick is not remembered. The yearly rate and its clause are filled in from your contract when the contract review read them; otherwise put in the rate from the late payment clause yourself. You can change either. YourCA works out the amount for the days the payment is late and writes it into the letter. No other letter or download adds interest.
  9. To stop chasing one builder, press the clock mark at the end of that notice, named Pause chasing this builder. To start again, press Resume beside their name on the Chasing card in Settings.
Worth knowing

YourCA never sends a chase or emails your builder. Each letter is a draft that opens in your own mail, and Record this chase only records what you say you did. A step that came due before you turned chasing on is skipped: a claim twenty days late gets the step its lateness calls for, not the polite note. A claim paid in full leaves the list. Recording a chase cannot be undone from the app yet.
