How YourCA works, step by step.

How do I give my subbie a payment schedule?

  1. Open Financials, then Supplier invoices, and press the firm’s claim to open it.
  2. Checked for you lists what YourCA found: whether it says it is a payment claim under the Act, when your payment schedule is due, whether you hold their subcontractor’s statement for the work, whether their certificate of currency is current, whether the GST is one eleventh of the total and, where the firm adds timesheets in YourCA, their hours for the work beside your clock for the same names. Each line has a tick: green is fine, amber needs a look, red is wrong or late.
  3. Press Draft the payment schedule. Type what you will pay, GST included. If it is less than they claimed, press Add a reason for each amount you hold back and say why. The amounts must add up to what you will not pay.
  4. Press Save the draft. Nothing is sent. Press Open the draft to change it.
  5. Press Download for the PDF or Word file on your letterhead, ready to sign. Draft an email in the same sheet opens it in your own mail, addressed to the firm.
  6. Send it yourself, then press Mark it served and pick the day you gave it to them. It is then fixed and cannot be changed.
  7. If the firm uses YourCA, their claim shows Schedule served and the day. They never see the amount or your reasons in YourCA; those are in the schedule you sent them.
Worth knowing

YourCA never sends the schedule. If the Act gives a last day and you send nothing by it, the whole claim may be owed, so Checked for you turns red after that day. This is not legal advice.
