How do procurement reminders work?
- HOW FAR AHEAD is set for each line, because it must be. You order frames eight weeks before and silicone the week before. One lead time for the whole schedule is either too early to act on or too late to matter.
- Open the line on the register and look under Reminders.
- Under Tell me before the order-by date, there are three chips: A week before, Three days before, The day before. Tick as many as you want.
- Each one you tick goes to the bell and to your morning email. Nothing is sent to your supplier.
- If more than one is in range, YourCA tells you once, on the nearest. For example, two days before, with a week and three days both ticked, you get only the three-day one. So one line never says the same thing twice in a week.
- If you untick all three, YourCA says nothing before the date.
- When the date arrives and the line is still not ordered, YourCA still tells you. That is not a preference. It is a fact about the job, not a reminder you chose.
- A line with no order-by date has nothing to count towards. So the chips wait until you give the line a lead time and an on site by date above. YourCA works out the order-by date from those two.
- WHETHER AND HOW YOU HEAR ABOUT ORDERING is set for the whole account, not on the register.
- Open Settings from the avatar menu, then Notifications. Under What YourCA tells you, set Order-by date approaching or reached to Morning email, Straight away or Off.
- This setting is yours. If you change it, nothing changes for other people in the office.
- Morning email is the starting setting. It puts the line on the bell when YourCA finds the date.
- It also puts every line that needs ordering, across every job, in your morning email. The lines are grouped job by job, worst first. On a morning with nothing due, the email does not come at all.
- Straight away emails you as each line comes up, in working hours on weekdays. Off stops them.
- The morning email comes at 6am unless you pick a later hour. Your morning email, on the same screen, sets that hour, and if it comes every morning or Mondays only.
- To quiet ONE line and not all of them, open that line. Under Reminders, use Pause reminders on this line.
- Pick the date it starts again. The warnings before the order-by date go quiet, on the bell and in the morning email.
- Everything else on the job still tells you. Start them again takes the line off pause the same day.
- A pause does not hide a date that already passed. If the order-by date passes while the line is paused and nothing was ordered, YourCA still tells you.
- That is a fact about the job, not a preference. Without this, a two month pause would mean nobody ever hears that the order was missed.
- Remind me with a draft chase works at a different level. It is set for each SUPPLIER, so it is not on the line.
- Under Suppliers, press the pencil on their row. The switch is under the row.
- Turn it on for a merchant. Every line of theirs, on every job, then comes with the chase already written and addressed.
- YourCA cannot chase a supplier with no email address. So the switch shows only after their row has an email. It does not offer a switch that writes to nobody.
Worth knowing
YourCA never chases a supplier for you. Every reminder goes to you. The chase it writes opens in your own email, and you press send.
