What do I have to order?
- Procurement is a tab on the job. Every job has one, and you set up nothing first. It shows what must be on site, and by when.
- Items not yet ordered with a lead time longer than the days left show first. Those items leave the crew standing around.
- YourCA works out the order-by date for you: the on site date less the lead time in calendar weeks.
- Give a line those two values and its order-by date fills in. If either is missing, the date stays blank. YourCA does not guess it.
- Add an order lets you type one line in by hand.
- Drop FF&E schedule, beside it on the band, reads a whole fixtures and fittings schedule, as a PDF or a spreadsheet. It opens the pick list below.
- Each line keeps the supplier its own row names, and every other column the schedule has. So you do not fill in a supplier for the list.
- Drag the file onto that button, or press it to browse. On a phone, Add order has Read a file inside it for the same thing.
- When you drop a schedule, YourCA asks which lines are yours before anything lands.
- Nothing is ticked when the list opens. The lines are grouped under the trade YourCA read them as. Tick a trade heading to take that whole package with one press.
- Most of a fixtures and fittings schedule belongs to other trades. So your register holds only the part that is yours.
- Some lines ARE yours but never get an order, such as general materials and consumables. For those, press Not separately ordered on the pick list, or set Bought by on the line later.
- Those lines stay on the schedule for the record and stay quiet for the whole job. They get no reminder, no follow up and no late flag. They are not in the three figures above the register.
- The register is grouped into your own sections. Add a section is its last row, beside Add an item by hand. It asks for the name in place.
- Press a section heading to rename it. Use the arrows on the heading to move the whole section up or down.
- A section you made stays on the register, even after its last line moves out. Only you can take it off.
- To move a line, drag it by the handle at the start of its row. Move it up or down inside its section, or onto another section heading.
- The section of a line is saved for everybody on the job. The order inside a section is your own reading order. YourCA remembers it on the device you set it on, the same as the order of the sections.
- The handle does not show while a column sorts, or on By month, because both of those already set the order.
- The first column is the picture, because you know a fitting by sight faster than you read a code.
- A line with no picture keeps the same cell, with a faint camera mark on it. Press the mark to open the line where Add photo is.
- Status is a badge on the row. Press it to change it.
- The list that opens shows the badges, with the current one marked. The row keeps its badge while you choose. The same list is on the line under Supplier and status.
- The three figures above the register are To order, Missing lead and Long lead. Press one to narrow the register to its lines.
- Filter, beside the search, narrows by status, by a flag or by who buys. Or it shows the Archived lines. Clear, beside it, takes off every filter.
- Follow up, under Supplier and status in the line, is the one letter a line writes. The line decides what it says.
- If shop drawings hold up the order, it asks for the drawings. On a line still to be ordered, it places the order. On a line already ordered, it chases the delivery.
- Download is on the band.
- PDF and Word give you the schedule as a document on your own letterhead, grouped by trade. The job and the date show on every sheet. This is what you give a builder.
- Excel and CSV give the working sheet with every column. Nothing is sent anywhere. The file is yours.
- Follow up writes the order or the chase. Open in my email opens it in your own email.
- When it has actually gone, press I have sent it. The item records that you emailed them.
- Copy message is beside it, for webmail. Supplier replies come back onto the same item.
- On a job with nothing on it yet, drop an FF&E schedule, a quote or an order anywhere on the page. There is no box to aim at. The page itself is the target.
- If the tab says This job's order schedule is not open to you, the job was removed or you are no longer on it.
- Pick another job, or ask the person who runs this job to put you on it. Then press Try again.
Worth knowing
A long lead item ordered late is the cheapest problem to avoid and the most expensive one to explain. Unless you can show when you ordered, the delay is yours.
