How do I set my retention terms?
- Open Financials, then Retention. The amount held is at the top, with the ceiling beside it.
- The terms behind it are further down, under What YourCA read off your contract. On a job whose contract has not been read, the heading is Your retention terms. The terms are: the contract sum, the share held from each claim, the ceiling, the share released at practical completion, and the months the defects liability period runs.
- What YourCA read shows its clause. The terms are folded under More about the terms, one line each. The line gives the figure and whether YourCA can use it. Press the arrow to open the question behind it, its source, and the control that changes it. A question that blocks a release date is not folded: it has its own open heading under The two releases.
- Each figure says where it came from. A figure read from your contract shows the clause and its words. A figure you entered is marked as yours, with your name. A figure you confirm against a recorded clause says so, because a person read those words and made the link.
- If a contract review ran on the job, the figures the contract states arrive already answered and cited, each with its clause and words. So a job whose contract YourCA read usually opens with only the figures the contract does not state. A figure you enter yourself still wins over the contract, because you read the document and stated it.
- If nothing gives a figure, YourCA leaves it blank with the question that fills it. It offers the usual form beside it for you to confirm. YourCA never applies it for you.
- A changed figure never re-prices what is already withheld. Before you save, the screen says how many claims you already served, and that what they withheld does not change.
- You tick which claim asked for practical completion when you record that claim as served. To change or remove the tick, use Your practical completion claim, near the bottom of this section. Either way, YourCA names that claim behind the first release.
- Record the practical completion date, on this screen or on Handover, and both release dates fill in.
- Until that date is recorded, each screen that shows a release says so once, with the way to answer it beside the sentence. It is not repeated under each release.
- If YourCA could not read a rate from a clause, a claim asks you to confirm the retention to withhold. A rate typed on the Contract tab fills in that form. The rate you confirm there goes back onto the Contract tab, so you enter it once. YourCA never writes over a rate read from a clause.
- This section is financial. Only the people on your account with financial access can open it. A foreman or a field worker cannot open it, and cannot read or change a retention figure.
- The section stays open on a job you have wrapped up. A job is wrapping up because retention is still held on it, so the section with the release terms must be the last to close.
- The ceiling only works as a ceiling when YourCA holds the contract sum against your claims as well as here. If the sum is held here but not there, the section says so plainly. It does not promise a stop that would not happen. Confirm the contract sum in this section to bring the two into step.
- Under the two releases, you record retention that comes back. It is the only write in the section that is not a term. Everything above it is your contract; this is a fact about your bank account.
Worth knowing
Ten per cent to a five per cent ceiling, half back at practical completion and twelve months of defects liability is common, not universal. Read your own subcontract before you confirm any of it, because these five figures decide when your retention falls due.
