Where do I put an invoice from my subbie?
- Open Financials, then Supplier invoices.
- Press Add an invoice and pick the PDF, or drop it anywhere on the page. YourCA reads it and fills in the firm, the invoice number, the total, the GST, the dates and the due date, each with the words it read them from.
- Check every value against the paper. A value YourCA could not read stays blank for you to type.
- A photo or a scanned page has no words in it for YourCA to read, so the sheet says so and you type the invoice in. Drop the PDF the firm emailed when you have it.
- Add your own contract date if your contract with the firm says when you pay. It is never on their invoice.
- Say whether it is a payment claim. In Queensland any invoice that asks to be paid for work is one, even if it does not name the Act, so answer Yes unless you know it is not. In New South Wales and Victoria it is one only if it says it is made under the Act. Yes, it is a payment claim sets a payment schedule date on the Calendar and Action items.
- If you leave Not sure on a job anywhere but Victoria or the Northern Territory, the row and the opened invoice still say the date your payment schedule would be due by if it is a payment claim. That date is not put on the Calendar or Action items, so decide and answer Yes or No.
- Tick that a subcontractor statement came with it, and it is filed against that firm under Prestart, Engaged.
- Press Add it. Nothing is sent to the firm.
- The bar on top splits your invoices by where each stands: overdue, due this week, part paid, owed and paid. Press a part to show only those invoices. Beside it are what you owe now, what is due this week, what is overdue and what you paid this month.
- If you leave GST blank, YourCA reads the total as including 10% GST and counts one eleventh of it as GST, the same as order matching does. Type 0 for a firm that is not registered for GST.
- Open a row to see every date it could be paid by, and which one counts: the earliest of the invoice, your contract and the Act.
- Where it is a payment claim, the opened invoice shows the last day for a payment schedule, under the Act of the job’s state. The Northern Territory has no payment schedule, so there it shows none. Otherwise it says in one line why there is none.
- Press a row to open it under itself. If you added the PDF, Open the invoice and Download the invoice are beside its facts, with the pencil and the bin.
- When you pay it, open the row and press Mark paid, with the day and the amount. If you pay part of it, press Record a payment for each later payment. Each payment keeps its own day, and the opened invoice lists them all.
- To take one payment off, press the bin beside it. Mark unpaid takes every payment off the invoice. Both ask you first.
- You can also forward the email to the job's address. Open it in your forwarded emails and press Add the invoice.
Worth knowing
YourCA never pays a firm and never sends them anything. Mark paid records what you did. Paid this month and Reports, Your subs count each payment in the month or dates it was made. The dates feed the Dash, the Calendar and Action items. Every invoice counts as a cost on Financials, Margin, before GST.
