How YourCA works, step by step.

The builder paid less than I claimed, what do I do with my Xero invoice?

What it does today

Connecting Xero is not open yet. Today you record the payment schedule and reconcile it as usual, and that works in full. When connecting opens, the credit note is one press from that reconciliation.

  1. Connecting Xero is not open yet, so none of this happens today. The steps below are what happens when it opens.
  2. Your invoice went into Xero at what you claimed. When the builder schedules less, record their payment schedule on the claim and reconcile it.
  3. Where their schedule names the lines it cut, the reconciliation offers Draft the credit note in Xero. A schedule that states only a total names no line, so nothing is offered.
  4. Press it. The credit note carries each cut line and the reason the builder gave, and gives back the retention held on the cut work, so the invoice less the credit is what the builder pays. It lands in your Xero as a draft, for you to check, approve and allocate.
  5. The claim invoice has to be in Xero first. A credit note on its own has nothing to credit.
  6. If the builder issues a new schedule, draft the credit note from the newest one. While a credit note for an earlier schedule is still in your Xero, YourCA refuses, so one cut is never credited twice. Void or delete the old one in Xero, then press again.
  7. YourCA refuses a schedule that does more than cut lines: one that values some work above your claim, or adds lines your claim does not have. It also refuses a credit note bigger than the invoice. In both cases, credit the difference in your books yourself.
Worth knowing

Without the credit note, the invoice sits part paid in Xero for ever and your debtors figure is wrong. Pressing again never makes a second credit note for the same schedule.
