How do I compare the tender drawings with the for construction set?
- First, file both lots of drawings on the Documents tab, each with its drawing number and its revision. The comparison matches on the builder's own drawing numbers, so it runs on those two fields.
- Open Compare drawings. Until it has a pair it can compare, it shows three numbered steps. The first two steps each have the button that does the step. The third step says which of them it still waits for. Work down the section from the top.
- Step 1 is the drawings you priced against. Press Select the drawings to name the set. It then opens the list of everything on this job for you to tick.
- If the drawings are not on the job yet, Add drawings to this job takes you to Tender Docs on the Documents tab. File them there first.
- If you priced the job in YourCA, Take them from the quote opens the quote. The sheets you priced against are already linked there, and one press makes the set from them.
- Step 2 is the drawings you build from. Make it the same way. Its own Add drawings button goes to Current revisions, not Tender Docs, because that is where you file what you build from.
- Step 2 has no quote button. A quote is what you priced, so it can never say what you build from.
- When a step is answered, it says Done and names the set. If somebody else started the job, you can see how far they got.
- Step 3 turns on when those two sets exist. The steps are then replaced by two actions.
- The first action pairs what you priced against with what you build from. The second pairs the last construction set with the set that just arrived. You use the second one again later in the job.
- Compare two other sets is under them. It opens a third pair that you fill in yourself, with any set on the job on either side. Use it for a pair that neither action offers.
- If neither action can run yet, that third pair is already open, because it is the only way to compare anything.
- Comparing costs nothing. YourCA opens every page of both sets and compares the pictures. On a big set this takes a few minutes, and the list fills in as it goes.
- The answer comes back at the top of the section, above the actions. A line says what was superseded, what is new, what is no longer issued and what could not be opened. It also says which sheets changed without a change of revision. Then there is a row for each sheet.
- On a sheet that changed, press See what changed. YourCA reads that drawing against the one you priced, and quotes the words from each. YourCA reads a sheet only once, however often you come back.
- The next offer depends on the job. Before the builder accepts anything, it offers to re-price the quote.
- When there is a contract, each difference has Raise a variation from this. It starts a variation with both drawings quoted in it as the evidence.
- Every comparison this job ran stays on the section under What you have compared, newest first. Each one shows the two sets it paired and what it found. Press Open to go back into any of them.
- Nothing is lost when the builder reissues again. You need this eight weeks later, when you argue a variation from a set two reissues ago.
- Download, under the line that says what changed, writes the comparison as a PDF, a Word document or an Excel workbook on your letterhead. It is ready to sit behind a variation.
- It has one row for each sheet that changed, with both revisions and what moved. Then it has the words read from each drawing. A sheet whose pages were never compared shows as not compared, never as unchanged. Your own device makes the file, and nothing is sent anywhere.
- If you compare a pair you already compared, YourCA opens that comparison. It does not run a second one. A comparison freezes both sets, so the answer cannot change. A new run would throw away the sheets YourCA already read.
- To correct a set, press Copy it to change it. That makes a copy you can edit and compare on its own.
Worth knowing
YourCA calls a sheet unchanged only when the revision matches AND it opened every page of both drawings and found them the same. Until YourCA opens them, it says it is still looking. It names and counts a sheet it could not open. It does not hide that sheet in the total. It never chooses between two sheets with one drawing number. It never says what a difference is worth: that is your pricing of your own work, and your contract says whether it is a variation at all. If your role can see records but not change them, such as Read only, you see every comparison and its result but none of these buttons. Ask the person who administers your company.
