How YourCA works, step by step.

The builder asked me to price something, is it a quote or a variation?

  1. Open the email on Documents under Correspondence. Press the button on the row. The panel opens on the choice YourCA read it as.
  2. At the top of the form, under Price it as, there are two choices: Start the quote and Draft the variation. The one you are on is filled in. Press the other, and the form changes at once to the form of that register.
  3. What YourCA read from the email comes with you. Their request, in their own words, fills the same box on either form, with the quoted words from the message underneath. Nobody types anything again.
  4. The right choice depends on one question: do you already hold a contract that covers this work?
  5. If you do, it is a variation. It goes on the variations register of this job and takes the next variation number. It decides whether you get paid for the extra.
  6. If you do not, it is a quote: a priced offer of its own on the Quote tab. Quoting is free.
  7. Fill in the rest and press once. A variation also asks where the instruction came from. Whether it was directed or you offered it changes what you can claim.
  8. Either one is a draft. YourCA has not sent anything to the builder, and never does. You export it and send it yourself.
Worth knowing

If you choose the wrong one, you cannot undo the numbering. A variation takes the next variation number of the job when you press, and that number stays on the register whatever you do after. That is why YourCA asks before the press, not after. If you are not sure, go by what the contract says. Work inside the scope you are already engaged for is a variation, however the builder words the email. A price for something you hold no contract for is a quote.
