How do I record a payment received?
- Open Financials, then Claims, and stay on Summary. The register lists every claim with the amount still outstanding on it.
- Open Actions on the claim they paid, and choose Record a payment.
- A form opens under that row with two boxes, Amount received and Day it landed. Paid in full fills in the amount from what is outstanding, so you see the figure before you commit it.
- Press Record it. The row updates in place. You can reconcile a month of deposits straight down the register without opening a claim.
- To record how they paid, their reference or a note, open the claim and use What came back instead. Payments received is at the top of that stage. It is also the only place where you can reverse a payment.
- Part payments are normal. Record what actually arrived. The balance stays visible on the claim, and the claim does not close.
Worth knowing
Connecting Xero or MYOB is not open yet, so today you record every payment on a claim this way. When connecting opens and your books are connected, the same payment also comes back from them by itself, so you do not need to record it here. Recording it by hand is not blocked and does not double it: the sweep skips a payment already recorded on the same day for the same amount. On a connected account, YourCA refuses to record a payment straight from a builder's emailed remittance, because nobody has seen that payment arrive. To correct a payment recorded by mistake, reverse it on the claim. Never delete it. The reversal is a new row that cancels the first one, and both stay on the ledger.
