How do I do the site diary?
- Write one line a day. It takes seconds. Say what you did, who was held up and by what.
- On a phone, the quickest way in is the plus in the middle of the bar at the bottom of the screen. Choose A diary line. The Site tab opens with the note box ready for you to type.
- You do not start the day. A day that holds anything is already there. For example, somebody clocked on, somebody took a photo, or somebody signed a hold point.
- That day shows on the month under All days, marked as recorded. Your note goes on top of what YourCA already put together.
- Delay causes include weather, a late RFI answer, another trade in your way and no access. You pick each one from a list. You do not type it.
- You can record a delay on the day itself in the diary.
- Or open Delays on the Site tab and press Record a delay. It asks which day the delay happened and puts it on that day. In both cases it is the same record.
- Photos taken during the day attach to the day they were taken.
- No signal in the lift shaft? Write the line anyway. Your phone holds the line and puts it on the day when signal comes back. The diary says how many lines the phone still holds.
- Until a line goes up, it is not on the day, so YourCA does not show it there.
- If you press add twice, or press again because a bad signal gave no reply, the note goes on once.
- Two things that really happened twice both go on the record, even with the same words. "delivery late" twice in one day is a normal thing to write, and both go on the record.
- Off the tools for a fortnight? Under All days, press Write across days. It puts one note on every day in a range, weekdays only by default.
- A long job holds more days than one screen shows. All days says how many it shows, and Load the earlier days brings in the rest.
- The count includes every day the job holds something on, including days the clock and the camera recorded that nobody opened. So the number above the month is the whole job, not only the part that fitted.
- YourCA decides if a note shows as written up later, from the day it belongs to. Nobody types it or chooses it.
- A note on a past day gets the date you wrote it and no clock time, because no honest time exists for it. A note on the current day is contemporaneous and gets the time.
- Under All days, Download the diary makes the whole range into one document for the builder, an adjudicator or your solicitor.
- It comes out on your letterhead. An index of every day in the range is at the front, so a person who argues about one day finds it without reading the fortnight around it.
Worth knowing
The diary is evidence for you, and the other side can also get it for use against you. Record what happened, not what you think of the builder. A note written up a fortnight later is marked as late, on purpose, because that is the first thing anybody asks you about it.
