What can I email to the job?
- Paperwork that arrives. A drawing or a specification goes on the drawing register as a revision. The press files the same file the email carried, so nothing is uploaded twice.
- It asks the same questions as filing one on the Documents tab, in the same order. It asks which attached file it is, with the number and revision read from its name. It asks whether it is a drawing or a specification, and which revision it replaces. YourCA suggests the current revision under that number.
- A transmittal is recorded as the covering sheet for a set. A revised programme goes on Schedule. Something for the prestart pack, such as an insurance certificate or a signed work order, goes there. A certificate for the handover pack goes on Handover.
- The head contract is filed to the Contract tab. From there, one press starts the in-depth review. A review spends a review credit, and that press is where you spend it.
- Answers and rulings. An answer to one of your questions closes that request for information. A ruling on something you sent for review goes on the submittal.
- A direction goes on the variations register. That register decides whether you get paid for extra work.
- What the job costs. A payment schedule goes against the claim you served. A payment against a claim is recorded on that claim. What a remittance does depends on whether your books are connected, and a separate answer covers that.
- Your quote being accepted marks the accepted revision. That makes the contract value schedule that every later claim is made against, and starts billing for the job.
- Site and supply. Photos from site go on the day they were taken. Something for the diary goes on the diary. Delay on the job goes on the delay record of the diary.
- A specification to build an inspection plan from goes to the inspection plan builder. A reply from a supplier and a delivery both go on the item you ordered.
- Things they ask you for. YourCA drafts these and never sends them. A request to price something extra opens a draft variation. Delay a notice may be due on opens the delay that the notice is written from.
- Something needing their answer in writing opens a draft question. A request to price something opens a draft quote, started from the panel where you read the email. Quoting is free.
- Those last two come together, because an email that asks for a price never says which one it is. Open either one, and the panel asks you first: a variation on this contract, or a new quote of its own. What YourCA read from the email comes with you when you switch.
- An email that belongs on no register is still filed on the job, with its date and everything attached. For half of real correspondence, that is most of the value.
- Press File for record and leave the box empty. If it carried a file worth keeping, Keep in Files or Add to O&M puts the file there too.
YourCA never files any of these for you, however obvious the email is: it reads, it fills in the form, and you press. It never replies, forwards or acknowledges anything either. The only sign that an email arrived is the email on the job. Sometimes you must pick the record rather than create it: which claim a payment schedule answers, or which order a delivery is for. Then the button opens that tab, and you fill in the form there by hand, with the email still on Documents in front of you. Open in the tab carries what you checked across for five kinds: a drawing, a transmittal, something for the prestart pack, site photos and a new quote. These open that tab with the form already filled in. Before you press, the panel says which of the two you get.
